NA07252To oversee the Shared Services Ops Specialist Teams to ensure all branch and employee data is reported accurately and on time to Corporate, to manage the team’s day-to-day office situations, and assist the Director of Operations whenever possible.
What you’ll be doing- Participate in day-to-day activities of Shared Services Center, assisting the Director of Operations as required.
- Assist Director of Operations with planning for new projects or implementations. Assist with the strategy and ensuring proper resource coverage for each project.
- Provide customer service to the field colleagues and managers who are supported by the Shared Services Center.
- Ensure that the team provides weekly reviews & updates weekly reports, to include but are not limited to: Headcount Stats Report, Starts & Ends Report, Key Metrics report.
- Ensure timely delivery and processing of onboarding documents for new hires by the team, and ensuring all Modis and end-client forms are included, completed, and signed by the consultant before starting their new position.
- Interview, hire, conduct new employee orientation for new Shared Services Center employees. Ensure that there is a standard training program to follow and oversee the training, whether conducted personally or by leveraging other members of the team.
- Perform bi-annual performance reviews and set goals for each member of the team.
- Address any HR or performance issues directly with the individual employee. Provide coaching and provide performance improvement steps as needed. Enlist assistance from the HR Hub, if necessary. Perform any terminations of team members, if necessary.
- Ensure that the team is knowledgeable and consistently able to answer associate questions in the following areas: employee benefits, including Vacation/Sick/Holiday; Insurance plan (medical, dental, vision, etc); 401K, expense processing, payroll/W2 questions, Independent Contractor (IC) or Subcontractor (SC) onboarding or payment questions.
- Act as escalation for any associate or branch issue that the Branch Operations Specialist is not able to resolve.
- Coach and develop team members to be able to move into Sr. Operations Specialists roles and other career opportunities.
- Ensure compliance for all state/federal employee/employer requirements to include but not limited to I9 Forms and W4 forms. Ensure compliance with vetting ICs and SCs.
- Oversee the scheduling of maintenance of computers, faxes, telephone systems and interacting with suppliers, as needed.
- Responsible for the purchase of all office supplies and equipment and keeping an accurate invoice log.
- Administer employee policies, procedures and benefits. Maintain vacation and attendance records for all staff and consultant personnel.
- Responsible for monitoring and approving all expenses that are sent to Corporate.
- Perform client specific reporting as needed to support any KPIs or SLAs on the accounts.
Additional Functions:
- Overnight travel on occasion
- Point of contact regarding A/R, A/P, consultant and staff payroll issues for Service Center.
- Facilitate discussions with Client Services on outstanding A/R issues, as needed.
- Support the Managing Directors and Leadership for one-off requests
- Back-up: Director of Operations – At any point and time the Director of Operations is out of the office, it is the duty of the Operations Shared Services Manager to assist with that persons job responsibilities.
QUALIFICATIONS:
- Formal Education: High School diploma or equivalent – College (desired)
- Skills:
- Excellent verbal and written communication
- Flexibility
- Ability to function and prioritize tasks in a fast-paced team environment
- Knowledge: Excel, Word and Microsoft Outlook required

The anticipated annual base salary range for this position is $53,784 - $98,604. Compensation varies based on a variety of factors including, but not limited to, experience, education, key skills, and geographic location. In addition to base salary, the position is also eligible for incentive compensation based on achievements outlined in the compensation plan.
Benefit offerings for full-time employment include medical, dental, vision, term life and AD&D insurance, short-term and long-term disability, additional voluntary benefits, commuter benefits, wellness plans, and a 401k plan or a non-qualified deferred compensation plan. Available paid leave includes Personal Time Off (PTO) on an accrual basis up to 152 hours a year, 10 Paid Holidays, 1 Community Service Day, and up to 6 weeks of Paid Parental Leave. PTO and holiday hours are prorated based on hire date within the calendar year.
