Executive Assistant and Special Project Manager to President TAG UKI, President LHH UKI, and SVP CT&M UKI
The EA to this triple hatted role holder, also a member of the GBU Executive Committee, will provide proactive management and coordination of activities to enable the President to focus on internal and external aspects of their roles.
Reporting Relationships:
  • Reports to President TAG UKI, President LHH UKI, and SVP CT&M UKI
  • Occasionally provides support for other Executives
Direct Reports:
  • Indirect support provided from Receptionists and other EAs
Location:
  • London metro (Hybrid role requiring 2-3 days in office)
In this role you can expect to
Key Accountabilities
  • Administrative support to strategic initiatives the President sponsors e.g. Women in Football, CHRO Roundtables, CRF
  • Undertaking research of a variety of topics and providing summaries and/or compiling into written form on behalf of the President. This may include information for client meetings/sales.
  • Working with Marketing is support of the President’s public appearances
  • Managing relationships with a wide range of stakeholders including EMEA and Global colleagues in GBU and Group
  • Extensive and complex diary management, requiring an elevated level of interaction with both internal and external stakeholders
  • Organizing company-wide events such as away days, awards, which go beyond logistics, recommending objectives, structure, topic, presenters
  • Producing documents, briefing papers, reports, and presentations for the President, ensuring pre-reading materials are available when required
  • Scheduling UK and International travel arrangements
  • Managing inbound calls and emails responding promptly and where necessary using own judgement to make decisions on what to handle or escalate
  • Coordinating Executive meetings across the GBU and Group
  • Creating meeting agendas, taking notes, and organizing necessary logistics such as rooms and refreshments
  • Managing expenses and company cards as required
  • Discreetly overseeing confidential and sensitive matters. Ensuring the confidentiality and integrity of all information in accordance with the Data Protection Act/GDPR and other relevant legislation and codes of practice
  • Drafting, finalizing, and circulating communications on behalf of the President
  • Producing management information as required
Required Experience
  • Operating successfully as an EA to the Senior Executive(s) within a fast-moving, high-pressure environment, including acting on behalf of, undertaking research for, and using your own judgement
  • Experience of using the full Microsoft Office package (especially Outlook, Word, and PowerPoint) at an advanced level
  • Professional, engaging manner and high energy
  • Strong written and verbal communication skills. Ability to communicate effectively with senior level executives and internal/external stakeholders. Strong proofreading of own communications.
  • Exceptional time-management skills and proven aptitude in managing multiple priorities. Ability to multi-task and work under pressure to tight deadlines with accuracy.
  • Problem-solving and analytical capability, with the ability to interpret data ana analyze findings
  • Able to network effectively and build constructive working relationships. Ability to work effectively independently and as part of a team
  • Ability to project manage effectively and ensure stakeholder management
  • Able to demonstrate discretion and integrity in the handling of confidential and highly sensitive information.
