Job Role: Executive Assistant to CEO
We are looking for an Executive Assistance to support the CEO. This role will be varied and involve diary management, travel arrangements, expense support, organising, administrative tasks, more. We are looking for someone who is highly organised, can learn quickly and eager to support the whole team during an exciting growth phase of the business.
- Managing diaries, organising meetings and appointments, often controlling access to the CEO and the remaining leadership team
- Acting as a first point of contact for general queries for the CEO
- Booking and arranging complex global travel, transport and accommodation, with an eye on time zones and tight turnarounds
- Preparing detailed travel packs, meeting briefings, and itineraries to ensure the CEO is fully equipped
- Supporting with client communications — drafting, proofing, and sending follow-up emails or correspondence.
- Tracking action items and follow-ups from meetings, ensuring deadlines are met and priorities managed
- Supporting organising team events, virtual and in person
- Submitting and tracking expenses
- Supporting the wider business where necessary on projects
- Supporting with finance admin
- Exercising sound judgment when handling sensitive information or urgent client requests.
- Miscellaneous tasks
- Occasional Personal Assistant tasks
- Experience as an EA to a C-suite member, ideally with exposure to client-facing responsibilities
- Confidence drafting professional communications with clients and stakeholders
- Flexibility and adaptability, particularly in managing shifting priorities and frequent international travel
- Excellent problem-solving skills, with the ability to anticipate issues before they arise
- Strong communication skills (written and verbal), with professionalism and polish
- Exceptional organisational skills, ability to multitask and attention to detail
- Basic PowerPoint and Excel skills
- Sound judgment and discretion when dealing with confidential information and client matters
- A proactive mindset, with the ability to take initiative and keep projects moving forward independently
