About the role

Pontoon is seeking a dynamic, multi‑talented, and highly organized Bid Coordinator to join our established, high‑performing global bid team.

What you’ll be doing
  • Track and monitor knowledge base and/or bid libraries and maintain an up-to-date bid pipeline/tracker.
  • Do shadowing with other bid managers for future potential career growth
  • Coordination with different teams and/or SMEs to request for content refresh or updates.
  • Research for new industry trends and share insights with the team
  • Coordinate and send out requests for information/data gathering for ongoing and past bids (e.g., resumes, project information, certifications, forms, supporting
    documents).
  • Take ownership of the bid library and make sure that contents are up-to-date.
  • Support the bid team in project initiatives and keep track of individual projects
  • Make sure that there is continuous traction of all bid-related initiatives and/or
    projects.
  • Provide regular updates to the Bid Director
About you
  • Candidate must possess a Bachelor's Degree and equivalent work experience
  • Experienced in documentation and maintenance of bid contents, bid libraries, and knowledge repositories;
  • Good attention to details;
  • Has background in bid support or bid management support for at least 2 years
  • Has experience supporting global teams (US, APAC, EMEA)
  • Proficient in computer applications;
  • Team player with positive attitude;
  • Above average in verbal and written communication skills;
  • Experience in bids/tenders/pursuit coordination, RFP coordination, procurement support, sales operations, or a similar role.
  • Strong research and analytical skills; able to quickly interpret bid requirements and scope.
  • Highly organized and detail-oriented; able to manage multiple deadlines and
    moving parts.
  • Ability to maintain huge knowledge base or content repositories
  • Proficient in MS Office and comfortable using online portals/tools.
  • Proactive and confident to have discussions with different SMEs
  • Willing to support multiple regions and flexibility in order to address timezone
    differences.
  • Can work with minimal supervision
