About the role

The Reporting Admin Support is a support role in ensuring data completeness, reporting accuracy, and operational alignment across project and portfolio management activities.
This role supports the effective use of PMO tools (e.g. Clarity PPM, ServiceNow, SharePoint, Excel, Power BI inputs) by collecting, consolidating, validating, and following up on data from Project and Program Managers.

Working closely within the Governance, Reporting & Analytics team, the PMO Admin Support helps ensure that portfolio data is reliable, reporting timelines are met, and PMO standards are consistently applied.

Operating as a key operational support function, this role contributes to smooth day-to-day PMO operations, reporting cycles, and stakeholder coordination.

What you’ll be doing

Key Accountabilities

  • Support the collection, consolidation, and validation of project and portfolio data across PMO tools and reports.
  • Follow up with Clarity users to ensure timely, complete, and accurate data submissions.
  • Support PMO reporting activities by preparing inputs, maintaining trackers, and validating outputs.
  • Assist in ensuring alignment with PMO standards, templates, and governance requirements.
  • Support the PMO team with administrative, coordination, and documentation tasks as required.

Main Tasks & Responsibilities

  • Collect and consolidate project, program, and portfolio data from stakeholders.
  • Maintain and update PMO trackers, reporting files, and data repositories (e.g. Excel, SharePoint).
  • Support monthly, quarterly, and ad-hoc reporting cycles by preparing data inputs and validating data completeness.
  • Perform basic data quality checks and highlight inconsistencies, gaps, or overdue inputs.
  • Support alignment with PMO templates, reporting standards, and timelines.
  • Assist in preparing materials for portfolio reviews, PMO meetings, and governance forums.
  • Track actions, follow-ups, and open items resulting from PMO and portfolio discussions.
  • Support documentation of PMO processes, reporting definitions, and guidance materials.
  • Assist with user onboarding support activities (e.g. access requests, basic guidance, documentation).
  • Provide general administrative and coordination support to the PMO team as needed.
About you
  • Suitable for working students or interns (no extensive prior experience required).
  • Any prior exposure to:
  • PMO, project support, reporting, administration, or data-related roles is an advantage.
  • Interest in project, program, or portfolio management environments is essential.
  • Initial exposure to tools such as Excel, SharePoint, or reporting platforms is beneficial.

Education:

Currently enrolled Bachelor’s or Master’s student who needs internship.

Coursework or practical experience with Excel, reporting, or data analysis is an advantage.
